Managing Refills

Overview

CareForMeds helps you stay ahead of refills by tracking your medication inventory and alerting you before you run out.

How Refill Tracking Works

  1. When you add a medication, enter your current quantity
  2. Each time you log a dose, the quantity decreases
  3. When you reach your refill threshold, you get an alert
  4. Request a refill through the app
  5. Update your quantity when you pick up the refill

Setting Up Refill Tracking

When Adding a Medication

  1. In the medication form, find Inventory section
  2. Enter Current Quantity - how many pills/doses you have
  3. Set Refill Threshold - when to alert you (e.g., 7 days supply)
  4. Optionally add Pharmacy information

For Existing Medications

  1. Go to the medication's detail page
  2. Click Edit
  3. Update the inventory fields
  4. Click Save

Refill Threshold Options

Threshold Best For
3 days Medications that can't be missed
7 days Standard medications, most common choice
14 days Mail-order pharmacies with longer delivery
30 days 90-day supplies or medications with easy access

Requesting a Refill

When you see a refill alert:

  1. Go to Refills or click the alert
  2. Click Request Refill
  3. Verify the medication and pharmacy
  4. Add notes if needed (e.g., "Need early for travel")
  5. Click Submit Request

The request is sent to your provider or pharmacy for processing.

Refill Request Statuses

Status Meaning
Pending Request submitted, awaiting response
Approved Refill authorized, ready for pickup/delivery
Ready Prescription filled, waiting for pickup
Completed Refill picked up and quantity updated
Denied Refill not approved (see notes for reason)

Updating After Refill

When you pick up your medication:

  1. Go to the medication's detail page
  2. Click Update Inventory or Refill Received
  3. Enter the new quantity
  4. Click Save

This resets your supply tracking.

Pharmacy Information

Storing pharmacy details helps with refills:

  1. Go to Settings > Pharmacies
  2. Click Add Pharmacy
  3. Enter:
    • Pharmacy name
    • Phone number
    • Address
    • Preferred contact method
  4. Click Save

You can set a default pharmacy for all medications or assign different pharmacies to specific medications.

Auto-Refill Programs

Many pharmacies offer automatic refills. If enrolled:

  • You'll still get CareForMeds reminders
  • Update inventory when refills arrive
  • Use notes to indicate "auto-refill enrolled"

Mail-Order Pharmacies

For 90-day mail-order supplies:

  • Set a longer refill threshold (14-21 days)
  • Account for delivery time
  • Request refills earlier than pickup

Refill Reminders

CareForMeds sends reminders at multiple points:

  1. First alert - When you hit your threshold
  2. Follow-up - If no action taken after 2 days
  3. Urgent - When supply is critically low

Managing Multiple Medications

Synchronization

Ask your pharmacy about "med sync" programs that align all refill dates.

Batch Refills

View all upcoming refills at once in the Refills section to plan pharmacy trips.

Troubleshooting

Inventory seems wrong

  • Check if all doses are being logged
  • Manually adjust the quantity if needed
  • Review dose history for discrepancies

Can't request refill

  • Verify prescription has refills remaining
  • Check if prior authorization is needed
  • Contact your pharmacy directly

Refill denied

  • Review the denial reason in notes
  • Contact your provider for a new prescription
  • Check if a prior authorization is needed
